ID Cards

ID cards for Students, Staff and community members can be used for more than just identification, find out more.

Your ID card can be used for a variety of things across campus:


RGU Students

Photo Upload For Student ID Card

When you have successfully completed your online enrolment, you can use the Photo Upload option to add your image to your new student ID card.

Please prepare your photo to match these requirements:

  • Passport Format (Must be a full front view of your head and shoulders only)
  • Layout should be portrait, similar to a passport photo. Landscape (horizontal) photos will not be accepted.
  • The file must be in jpeg format, other formats will not be accepted
  • File size should not exceed 2MB
  • Must be in colour (black and white photos will not be accepted)
  • Do not retouch or otherwise enhance or soften photo

You might find it convenient to take a photo using a Smartphone. 

This photo will be your student ID card picture throughout your time at RGU. Please keep this in mind when selecting your photo.

Postal Student ID Cards after enrolment

After you have successfully completed your online enrolment, please complete the form to request your new student ID card by post.

This form should only be submitted by students on an online learning course or students on a full year placement.

Please note forms submitted before the online enrolment process has been completed will be discarded.

Replacement Student ID Cards

If you have lost your student card please email studenthelppoint@rgu.ac.uk with the address you wish it to be posted to.

If you need a card urgently, please come to the Student Help Point desk in the Ishbel Gordon Building - the Student Help Point is open Monday to Friday 11:00 - 15:00.

Summary of main Terms and Conditions

  • The card remains the property of the University. In the event of your withdrawal or exclusion from the University, the card must be returned to:
    Student Help Point, Ishbel Gordon Building, Robert Gordon University, Garthdee, Aberdeen AB10 7QG
  • The card is for personal use only and is not transferable. You must not allow any other person to use your card, or the facilities to which the card gives access.
  • The card should be carried at all times when on university property and must be produced at the request of a University official. In particular, it must be displayed during University examinations.
  • The card is valid until the period shown, i.e. “SEP 19”, or until you cease to be a student, whichever occurs sooner.
  • The Student Card demonstrates that you are a valid student of Robert Gordon University and combines the functions of an enrolment card and library card. Its use is also subject to the Library Regulations.
  • Loss, theft or destruction of the card must be reported to the Student Help Point team immediately by calling (01224) 263600. If a replacement card is required during the current session you can order one for a fee of £10.00 through the Student Help Point. Once a replacement card has been ordered, a previous card becomes permanently invalid and cannot be reactivated. If found, a card should be returned to: Student Help Point, Ishbel Gordon Building, Robert Gordon University, Garthdee, Aberdeen AB10 7QG
  • You will be given reasonable notice of any changes to these terms and conditions by display within the university. Changes apply from the date specified in the notice.

University Employees

Terms and conditions of use

  • The card remains the property of Robert Gordon University. In the event that you cease to be a University employee, the card must be returned to: 
    Human Resources, Central Services Building, Robert Gordon University, Garthdee, Aberdeen AB10 7QB 
  • The card is for personal use only and is not transferable. You must not allow any other person to use your card, or the facilities to which the card gives access. 
  • The card should be carried at all times when on university property and must be produced at the request of a university official. 
  • The card is valid from its date of issue until you cease to be a university employee. 
  • The Employee ID Card demonstrates that you are a valid employee of Robert Gordon University and combines the functions of an ID card, library card and, if you are or become a member of RGU SPORT, a membership card.
  • When using the library facilities you are subject to the Library Policies.
  • When using RGU SPORT facilities you are subject to the terms and conditions of RGU SPORT membership
  • Loss, theft or destruction of the card must be reported to Human Resources.
  • Once a replacement card has been ordered, a previous card becomes permanently invalid and cannot be reactivated. If found, a card should be returned to:
    Human Resources, Central Services Building, Robert Gordon University, Garthdee, Aberdeen AB10 7QB  
  • You will be given reasonable notice of any changes to these terms and conditions by display within the university. Changes apply from the date specified in the notice.

Community Members

Members of the local community can get an ID card for use in the Library and/or RGU SPORT.

RGU SPORT offer membership options for local community members to use the gym, swimming pool, climbing wall, classes and other facilities. 

RGU SPORT Community members who have an ID card can use the same card when they apply for library membership. The Library can also issue ID cards for community members to borrow books and journals. Community members will not have access to University PCs or access to electronic resources. You may also need to pay for Library membership.

Terms and conditions of use

  • The card remains the property of the Robert Gordon University. In the event that you cease to be a Community member of the University, the card must be returned to:
    RGU SPORT, Robert Gordon University, Garthdee, Aberdeen AB10 7GE or RGU Library, Sir Ian Wood Building, Robert Gordon University, Garthdee, Aberdeen AB10 7GJ.
  • The card is for personal use only and is not transferable. You must not allow any other person to use your card, or the facilities to which the card gives access.
  • The card is valid from its date of issue until you cease to be a Community Member of the University. 
  • The Community Member ID Card is a library card if you apply to be a member and, if you are, or become a member of RGU SPORT, it is also a membership card.
  • Community Membership of the library is renewable annually.
  • When using the library facilities you are subject to the Library Policies
  • When using RGU SPORT facilities you are subject to the terms and conditions of RGU SPORT membership.
  • Loss, theft or destruction of the card must be reported immediately to RGU SPORT on 01224 263666, or the Library on 01224 263450.
  • A replacement card can be obtained from RGU SPORT for sport members or the Library for library members. Once a replacement card has been received, a previous card becomes permanently invalid and cannot be reactivated. If found, a card should be returned to: RGU SPORT, Robert Gordon University, Garthdee, Aberdeen AB10 7GE or RGU Library, Sir Ian Wood Building, Robert Gordon University, Garthdee, Aberdeen AB10 7GJ.
